An interview with Ellens & Lentze about the link between XpertID and NEXTassyst
Restport, the provider of XpertID, and NEXTlegal joined forces after a golden tip from notary Michaël Lentze of Ellens & Lentze. The result? First, a seamless link between the WID scanner and NEXTassyst and then, as an additional feature, the XpertID app for on-site identification. This identifies individuals on location and stores the data directly in the appropriate client file. We speak with Michaël, the initiator behind this link, which is already in use at several offices.
Efficiency in legalizations wherever you are
The WID scanner in the office and the XpertID app on the go are designed to perform legalizations. As Michael explains, “It’s to verify that Pete is who he says he is.”
The app, like the scanner in the office, reads the NFC chip with almost the same technology and accuracy. “It complements our work in the office perfectly, but now also on the go,” Michael adds.
Linkage as an essential requirement to avoid duplication of effort
Since 2008, Ellens & Lentze has been using NEXTassyst. When this firm first saw the solution, the focus on development and working securely in the cloud particularly appealed to them. “We were looking for a partner that grew with us, and they still do,” Michael explains. When he later discovered the vendor Restport, he was immediately charmed by the ID-checking solution, but made one requirement: a seamless link to their files in NEXTassyst so that data is automatically stored on the correct customer card. “Just a check is not enough. Manually copying data into the file takes time and leads to duplication of effort. Fortunately, Restport was open to our suggestion,” notes Michael.
Michaël says the link was quickly realized. “Within no time we were able to run a pilot.” In the meantime, this link is no longer running at just this office in The Hague. After a successful delivery at Ellens & Lentze, more offices followed later. By now, it is impossible to imagine the notary profession without this golden combination.
Operation in practice
Previously, the office made copies of IDs, but assessing authenticity was a challenge. “We see so many nationalities here in The Hague; assessing a Dutch ID is one thing, but other IDs can be trickier,” Michaël explains. Using the physical scanner, and now Restport’s app, the data is read and compared to the physical copy, then automatically stored in the correct client file in NEXT. “This saves time and assures us of accurate and secure filing,” he adds. “What’s extra nice is that the system -e.g., in the case of a Polish ID issued in 2019- checks whether it matches the format of 2019 Polish ID documents. Next, the VIS- link in Assyst checks also whether it is not registred as stolen or missing.”
Convenience on the go, accuracy in the office
The XpertID app, which works on both iOS and Android phones, not only provides convenience on the go, but also ensures seamless synchronization with NEXTassyst. All scanned data stays within the office and is not shared with third parties. “The app does not replace the WID scanner in the office, but complements it,” Michael emphasizes.
“Because of the app on our phone, we identify clients even when we visit them at home. The data are then immediately in the right file. As soon as we grab our phone to use the XpertID app, it also immediately provides great conversation material. A great way to show that the notarial profession is far from dusty, as unfortunately is still sometimes thought. We are one of the professions most digitized and this handy link is a great example of that.”
